Ultimate Driving Adventures – Terms and Conditions Version 1.3 – Effective 8 May 2026

1. Tour/Event Organiser

All tours and events are personally tailored and organised by Ultimate Driving Adventures Limited (herein referred to as “UDA”). Company number: 14803264.

Your participation in the tour or event — including any deposit or full payment made at the time of booking or prior to the tour/event — shall be deemed as your acceptance of these Terms and Conditions.

1A. Definitions

• UDA: Ultimate Driving Adventures Limited

• Participant: Any individual taking part in a UDA tour or event, either as a driver or passenger

• Tour/Event: Any road trip, tour, or driving experience organised by UDA

• Entry Fee: The cost of participation as outlined in the booking form and tour brochure

2. Details Pertaining to Each Tour/Event

The UDA tour or event is a tailored navigational road trip led by an official UDA organiser. You will be provided with a daily route map and expected to navigate to each destination using either the Sat Nav system supplied in the rental vehicle or the printed route map provided by a UDA official.

A self guided tour is a crafted holiday itinerary that is carefully planned and structured, allowing you to travel independently at your own pace while enjoying thoughtfully selected routes, experiences, and overnight stops without the need for a hosted guide.

The tour/event programme, including planned itinerary, hotel accommodation, meals, attractions, and admission fees, will be outlined in the UDA tour/event brochure.

Unless otherwise stated in the brochure, all other expenses are not included in the tour/event entry fee.

The UDA tour/event is not a race or competition. You must drive safely, obey all road laws in each country visited, and show proper courtesy to all participants and members of the public.

If you are observed driving recklessly or violating road laws, you may be removed from the tour/event and prohibited from participating in future tours/events.

3. Car Rental Restrictions

To participate as a driver, all rental drivers must (unless otherwise specified) be aged between 25 and 74 at the time of hire and have held a full driving licence for a minimum of 1 year.

All participants must ensure they meet standard requirements for vehicle rental in the UK and/or Europe. This typically includes holding a full, valid driving licence with no disqualifying endorsements. By joining this tour, you confirm there is nothing in your driving history that would prevent you from being accepted by a mainstream car rental provider.

UDA cannot be held responsible if a participant is unable to hire a vehicle due to licence issues, driving history, or other disqualifying factors. In such cases, no refunds will be given. If you have any concerns, please speak with a member of the UDA team before making a booking.

4. The Tour/Event Entry Fee

The entry fee is based on (unless otherwise stated in your tour brochure):

• One rental car (with a driver and one passenger), including insurance and breakdown cover

• Hotel accommodation and any meals as listed in the tour/event programme

• A private meet-and-greet transfer from your UK arrival airport to your first-night UK hotel

• A private shuttle transfer to your UK departure airport terminal.

UDA reserves the right to make reasonable changes to the tour/event itinerary, accommodation, attractions, restaurants, routes, timings, and included experiences where necessary due to operational requirements, availability, weather conditions, supplier changes, safety considerations, local events, or circumstances beyond UDA’s reasonable control.

Where possible, alternative arrangements of a similar standard and character will be provided.

Such changes shall not entitle participants to compensation or refunds.

Participants are responsible for booking their own flights to the UK. UDA is not liable for any missed flights or failure to arrive on the tour start date.

On our tours, vehicles are typically automatic and fitted with Sat Nav or similar navigation systems. Where possible, UDA works directly with reputable rental companies or manufacturers. Most cars are less than one year old, except for some vehicles such as MINIs on specific tours, which may be up to three years old.

While we make every effort to supply the vehicle type listed in the brochure, this cannot be guaranteed. In the unlikely event that a specific vehicle is unavailable, a suitable alternative of similar quality will be provided. If you have any questions or concerns about vehicle suitability, please contact us before booking.

5. Pricing Adjustments & Surcharges

Occasionally, increases in operational or supplier costs beyond UDA’s reasonable control may affect the advertised entry fee. This may include, but is not limited to, exchange rate fluctuations, fuel prices, hotel costs, transport costs, government charges, taxes, tolls, or supplier imposed increases.

In such circumstances, UDA reserves the right to apply a reasonable surcharge to the tour/event price. Participants will be notified as soon as reasonably practicable.

If a surcharge exceeds 10% of the original tour/event price, participants may cancel their booking within 7 days of notification and receive a refund of monies paid, less any unrecoverable costs already incurred by UDA.

Participants should carry local currency relevant to their tour (e.g. GBP, EUR, CHF) and be aware that while credit and debit cards are widely accepted, American Express is not accepted at many of our hotel and restaurant partners. However, UDA does accept AMEX for tour payments.

6. Payment Terms

Unless otherwise stated, a non-refundable and non-transferable deposit is required at the time of booking, along with a completed booking form.

The remaining balance may either:

• Be paid in full within 30 days of the initial deposit payment; or

• Be paid via an agreed instalment plan, which must be completed no later than 4 months before the start of the tour/event.

Some tours/events may require additional upfront payments which are not covered by instalment plans.

Once you’re ready to book, you will be required to pay a non-refundable deposit to secure your place on the tour. You’ll then receive a second link to pay your remaining balance (or set up an instalment plan, where available).

You’ll also receive a vehicle rental agreement form, which must be completed and returned as instructed in the tour/event programme.

Once your deposit has cleared, you’ll receive confirmation and a Welcome Email, along with a link to an electronic booking form which must be completed within 7 days.

Failure to complete your booking form or pay the remaining balance in time may result in cancellation, with any payments made (including your deposit) being forfeited.

6A. Travel Insurance

UDA strongly recommends that all participants obtain comprehensive travel insurance that includes cover for:

• Medical and dental treatment (including emergency evacuation)

• Trip cancellation, interruption, or curtailment

• Lost or stolen personal belongings and baggage

• Travel delays or missed connections

• Personal liability

• Vehicle rental excess

Insurance is not mandatory, but no refunds will be issued in the event of cancellation by the participant.

7. Cancellation by the Participant

Unless otherwise stated within these Terms, payments made to UDA are non-refundable and non-transferable. UDA strongly recommends that all participants obtain comprehensive travel insurance to protect against cancellation, curtailment, travel disruption, or other unforeseen circumstances.

8. Cancellation by UDA

UDA reserves the right to cancel or postpone a tour/event in the case of insufficient participants, organisational issues, force majeure, or other unforeseeable circumstances.

If the event is cancelled for reasons within UDA’s reasonable control, all payments — including deposits — will be refunded in full.

9. Participant Conduct & Driving Under the Influence

Our tours are designed for friendly, respectful guests who enjoy socialising. Anyone whose behaviour is reasonably considered by UDA to be disruptive, unsafe, abusive, unlawful, or likely to negatively affect the enjoyment or safety of other participants may be asked to leave the tour/event without refund.

• Participants must not consume alcohol while driving

• Driving under the influence of alcohol or illegal substances is strictly prohibited

• Anyone found to be under the influence or attempting to drive while intoxicated will be removed from the tour immediately

10. Liability

Nothing within these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability which cannot legally be excluded under English law.

While UDA aims to deliver each tour/event to a high standard, participants acknowledge that driving tours involve inherent risks associated with road travel, vehicle use, weather conditions, and third party actions.

UDA shall not be liable for loss, damage, injury, delay, inconvenience, or additional expense arising from:

  • the actions or negligence of participants

  • third party suppliers

  • road conditions or accidents

  • mechanical failures

  • weather conditions

  • events beyond UDA’s reasonable control

UDA shall not be liable for any damage to the rental vehicle or personal property, including while parked at hotels or tour/event venues.

To the maximum extent permitted by law, UDA’s total liability arising from or connected to the tour/event, whether in contract, negligence, breach of statutory duty, or otherwise, shall not exceed the total entry fee paid by the participant.

UDA shall not be liable for indirect or consequential losses including, but not limited to:

  • loss of enjoyment

  • loss of opportunity

  • loss of earnings

  • travel disruption

  • additional accommodation costs

  • missed flights

  • personal expenses

  • or any other consequential financial loss.

11. Indemnity

Participants agree to indemnify and hold harmless UDA, its organisers, directors, staff, agents, and representatives against any claims, liabilities, losses, damages, costs, or expenses arising from:

  • the participant’s breach of these Terms and Conditions

  • the participant’s unlawful acts, negligence, misconduct, or reckless behaviour

  • damage caused by the participant to vehicles, property, venues, accommodation, or third parties

  • claims brought by third parties arising from the participant’s actions during the tour/event.

This indemnity shall apply to the maximum extent permitted by law.

12. UK and Overseas Compliance

Participants must comply with all local driving laws and carry the required safety equipment provided in the rental vehicle.

It is your responsibility to ensure all required documents are in place and valid for the full duration of the tour. This includes but is not limited to:

• A valid driving licence (and IDP, if required)

• Your signed rental agreement

• Valid passport and relevant visas

• Vehicle vignettes (where applicable)

• Travel insurance

Failure to comply may result in removal from the tour/event.

13. Force Majeure

UDA and its representatives shall not be liable for failure or delay in fulfilling obligations where such failure or delay results from circumstances beyond UDA’s reasonable control, including but not limited to natural disasters, severe weather, pandemics, war, terrorism, civil unrest, government action, travel restrictions, border closures, blockades, supplier failure, or legal restrictions.

UDA reserves the right to cancel, postpone, curtail, reroute, or amend a tour/event where reasonably necessary due to force majeure events, safety concerns, operational requirements, or exceptional circumstances.

As UDA incurs substantial operational, administrative, planning, staffing, marketing, and supplier related costs in advance of each tour/event, refunds or transfers may not be possible in such circumstances.

UDA reserves the right to retain sums reasonably required to cover unrecoverable operational costs, administrative expenses, supplier charges, commitments, and losses incurred in relation to the tour/event.

Any remaining balance may, at UDA’s discretion, be refunded, credited, or transferred.

Any refunds, credits, transfers, or alternative arrangements shall be subject to any recoveries obtained from third party suppliers, insurers, or service providers.

If UDA reasonably determines that continuing the tour/event is unsafe, impractical, or inappropriate due to circumstances including but not limited to severe weather, natural disasters, pandemics, government restrictions, border closures, civil unrest, war, terrorism, serious accidents, medical emergencies, or supplier failure, UDA may cancel or amend the tour/event without liability for consequential losses or additional expenses incurred by participants.

Participants are strongly advised to obtain comprehensive travel insurance covering cancellation, curtailment, travel disruption, medical emergencies, border closures, and other unforeseen events.

14. Copying the Event

All UDA branding, tour materials, written itineraries, route documentation, photographs, marketing content, brochures, travel books, and related materials remain the intellectual property of UDA unless otherwise stated.

Participants must not reproduce, distribute, commercially exploit, copy, or use UDA materials, branding, or confidential business information for the purpose of organising, marketing, promoting, or operating competing commercial tours or events without prior written consent from UDA.

Participants may use photographs, videos, and memories from the tour/event for personal and non commercial purposes only.

15. Photographs & Filming

By joining a UDA tour, you grant permission for UDA to capture and use images and video footage for marketing purposes. This may include social media, website content, printed materials, and tour reviews.

• Only first names will be used; full names will not be published

• If you do not wish to appear in photos or videos, you must notify UDA in writing before the tour begins

• While we’ll do our best to honour this request, group settings may make full exclusion difficult

Participants may take their own photos and videos for personal use only. Any commercial use, including media or website content, requires prior written consent from UDA.

You must not photograph, record, or publish any images of road traffic accidents during the tour.

16. Confidentiality

Participants agree to act responsibly and respectfully regarding information relating to UDA, its staff, suppliers, participants, and tour operations.

Participants must not knowingly publish or share false, misleading, defamatory, or commercially sensitive information relating to UDA, its tours/events, staff, suppliers, or participants.

Where an incident, accident, dispute, or sensitive matter occurs during a tour/event, participants are expected to respect the privacy and wellbeing of those involved.

Nothing within this clause prevents disclosure where required by law or where reasonably necessary for insurance, medical, legal, or emergency purposes.

17. Governing Law

These Terms and Conditions are governed by English Law. You agree to submit to the exclusive jurisdiction of the Courts of England and Wales in relation to any disputes, including non-contractual matters.

18. Changes to Terms

These Terms and Conditions may be updated periodically. Updates will apply to future bookings only and will not affect existing confirmed bookings, unless required by law. Where a material change is necessary and directly affects an existing booking, UDA will contact the affected participant(s).
